Lean Agency Workflows: Cutting Redundancy with AI

Seiji Morita explains how to streamline operational funnels and leverage AI to free creative teams from administrative tasks.

In a conversation on Marketing - The Podcast, Seiji Morita discusses how management tools and automation should minimize time spent tracking processes. The operational priority for agencies is shortening administrative steps to accelerate client delivery.

Seiji Morita, CEO of Agência Omamori, joined Bruno Gimenes on Marketing - The Podcast to discuss how excessive internal steps drain productive agency hours and how to design lean workflows with tech support.

In the video above, the conversation begins with the time marketing teams waste on operational support—such as status check-ins, manual handoffs, and ticket management—instead of focusing on direct creative execution.

Less Time Inside Management Dashboards

For Morita, effective operations management should prevent creatives from spending hours navigating internal tracking tools. The team's primary focus must be delivering accurate results for the client.

"The less time my creative team spends managing tasks, the more effective we are at delivering what the client needs," explains Morita. He questions bloated pipelines for routine deliverables: "We might have a great 15-stage funnel, but does that really make sense for an Instagram post? Does it truly need to pass through all those stages?"

Separating Workflows and Leveraging AI Agents

Morita emphasizes that different agency departments require distinct approaches within management software. While account managers need to operate directly inside the system to log interactions, qualify leads, and track response metrics, creative teams require more agile workflows.

For copy and design teams, the agency integrated AI agents and pre-configured prompts to automatically generate task cards, assign duties, and update deadlines. The goal is to let the system organize the data so the team can work directly inside creative tools.

Fast Delivery and Focusing on What Matters

According to Morita, integrating artificial intelligence into agency operations is primarily about speeding up decision-making and execution. He notes that operations thrive when core processes are well executed and standardized, making it easy to replicate routines without creating bureaucratic bloat.

"I believe simple solutions work best," Morita states. He argues that managers should constantly audit redundant steps and avoid bottlenecking client deliverables through excessive centralization.
